How to maintain large local and server-based termbases to prevent slow performance

Scope/Environment
Symptoms/Context
Performance of termbase searches and term recognition is slow or slowing down after some time. You may also realize that the database size for your server termbase is considerable large.
Resolution

Reorganizing a local termbase

  1. Open SDL MultiTerm.
  2. Click Termbase > Open Termbase and browse to the termbase(s) to open them.
  3. Open the Catalog view.
  4. Right-click on Termbase > Reorganize from the menu.
  5. Select one or more termbases that you want to reorganize by ticking the box.
    • If you want the termbases entries to be encrypted, select Encrypt Entries.
    • If you want the termbases to be read-only, select Set termbase to read only.
      NOTE: A read-only termbase cannot be changed back to an editable state. You should make a copy of the termbase if you want to keep an editable version.
    • If you want the termbase to be unreadable after a certain time, select an Expiry Date.
  6. Click OK.
  7. When the termbase is reorganized, the Next button becomes active and the Results page is displayed.

 

Reorganizing a server termbase

NOTE: Stopping a termbase interrupts any user activity. Before stopping a termbase, inform users to allow them to save any work that is in progress.

  1. Open SDL MultiTerm Administrator.
  2. Right-click on the termbase you want to reorganize and select Stop Termbase. Refer to the Product Help Stopping a Server Termbase for further details.
  3. Right-click again on the termbase, and select Reorganize....
    • If you want the termbases entries to be encrypted, select Encrypt Entries.
    • If you want the termbases to be read-only, select Set termbase to read only.
      NOTE: A read-only termbase cannot be changed back to an editable state. You should make a copy of the termbase if you want to keep an editable version.
    • If you want the termbase to be unreadable after a certain time, select an Expiry Date.
  4. Click OK.
  5. When the termbase has been reorganized, the Next button becomes active, and the Results page is displayed.
  6. Restart your termbase again. Refer to the Product Help Re-start the Server Termbase for further details.
Root Cause
It is strongly recommended for your termbases to perform database maintenance regularly:

- For local termbases the reorganization speeds up fuzzy searches.
- For server termbases the reorganization helps to reduce the size of the database.
Reference

After the reorganization, make a search in your termbase and check if the expected terms are displayed in the Hitlist. Also make sure that the Term Recognition and Termbase Search dialogs display the expected terms.

If performance did not improve after the reorganization, this may be due to underlying capacity problems with your computer:

  • Try closing down all other programs except your translation software; it may occur that one of the other programs running is using all available memory.
  • Try cleaning up your machine. Refer to http://windows.microsoft.com/en-GB/windows-xp/help/setup/maintenance-improve-performance for further instructions.
