The automatic emails that Flow sends when when we delete or add a task or assign a task to someone else etc... are missing elements such as Project number...
Modify a Notification Template
When a notification is sent, a default email template will be used describing some appropriate details for each notification. For example, if a provider is being notified to start a task, they will receive some information concerning that task as well as a link to the task.
You can make small adjustments to a template such as adding your own words or changing a font style to bold. You can also make more advanced changes such as adding or removing an available data field element. Test the resulting notifications to view the actual notifications that users receive. You can restore the default template to erase any unapproved changes. To do so:
1. From the TMS vertical sidebar, select Settings.
2. On the Administration page, under the Enterprise Administration section, click the Modify Notification Templates link.
3. In the Notification Template field, select a template.
4. In the Supported Locales field, select a language.
5. Click Plain Text or HTML to examine how the notifications will appear to recipients using e-mail applications that support pure text or HTML formatting.
6. Edit any of the following items:
a. Subject: Enter a short meaningful title for all notifications of this type. The subject line should be consistent since recipients will often sort or file similar types of messages; however, it should also stand out if its message is a higher priority than another type of notification.
b. Heading: Enter a short summary of the events or conditions that explain to the recipient the primary reason they are receiving this type of notification. For example, you can explain the normal process or policy and what step is now in need of attention.
c. Message: Enter additional details that explain the events, conditions, or current situation.
You can construct phrases that capture a snapshot of the current data by entering a label or phrase and then clicking a field name in the Available Elements section. For example, to show the recipient an actual project number captured at the time the notification is generated, click a specific part in the template and then click the Project Number field at the bottom to insert the following line:
Project Number: <%Project Number%>
Note: You can type, cut, copy, or paste the field names. To insert the correct name and tags, always click the field buttons in the Available Elements section.
7. Click Save Template.
Note: If you do not see Notification Templates in the Enterprise Administration section, you may not have the appropriate access rights to customize notifications. You must have Administration > Enterprise > Notification Templates selected in the Access Rights for your profile.
